Status: This project page is a collection of general information, not related to a special project of mine.
I try to organize what I have to do and want to do according to the GTD methodology, at least to some extend. Here's some notes on using the system, just that I don't forget what I found useful by experiment or "research"...
Collect
Use voice recorder when on the road. Therefore, have it with you anytime...
Before moving any personal (i.e. non-office) mail in the todo mailbox, create todo entry for it.
Keep uncaptured items in mail inbox - and keep inbox empty.
Create todo entry for physical incoming stuff (e.g. letters) before dropping them on the desk.
Assign due dates wherever it makes sense. If it's a hard due date, turn on the "star" flag.
Process
Daily
Note: Daily review is scheduled in the evening, as a preparation for the next day. In case it happens in the morning, all references to "tomorrow" below are, of course, to be read as "today"...
Check mail inbox for uncaptured mails. Process them, if any.
Check voice recorder for uncaptured recordings. Clear recordings when todo entry created.
Review items due tomorrow, allocate time and space for handling them.
Check current next actions, flag those with a star that shall (and can) be done tomorrow
Weekly
Note: Weekly review should take place on weekends, as preparation for the upcoming week. If it happens on Monday morning, "next week" below is, again, "this week"...
Do daily review actions.
Review each project:
- Is it representing the current state? If not, fix.
- Is it done? Mark as done.
- Is it actionable? If not, fix.
- Does it actually require more than one (GTD-wise) step? If so, make a project from it.
- Is it already marked as done? Delete it (if there is not a real reason for keeping it).
- Compare due dates on items to actually available time.
- Compare due dates on items to reality's requirements.
Review the "Allgemein"/"Verwaltung" projects:
- Have only entries that are either "waiting" (or similar) or single-action items with an assigned due date.
Review items due next week, assign time to handle them.
